Our Mission Statement:
The Latino/a Heritage Month Committee at Columbia University strives to promote the awareness of the Latino/a histories, cultures, accomplishments, and current issues during the month of October, through student-group initiatives and University-sponsored events. The LHM Committee works towards the education and increased consciousness of the Latino/a cultures in the greater Columbia community, as well as to strengthen and unite the Latino/a constituency on campus.

Position: Showcase Chairs (4)

4 representatives will be elected

(2) Showcase Chairs to deal primarily with performers and organization of event 

(2) Showcase Chairs to deal primarily with the fashion show (models, designers, etc.) 

Responsibilities:

  • Responsible for the execution and relevant content of the show and its performances. 
  • Seeks out participants (performers, artists, businesses, etc) including, but not limited to, Columbia University and Barnard students, in addition to non-affiliated organizations and determine performer fees if necessary. 
  • Plans and directs dress rehearsals, and meet with facilities/technical services to discuss show logistics and various technical requests. 
  • Responsible for assigning two stage managers who will direct backstage affairs during the showcase. 
  • Responsible for the grants as stipulated in Article V, Section 1.v 
  • Works in conjunction with the Publicity Chair to create an effective on/off-campus advertisement plan. 
  • Recruits volunteers to assist with various duties during and prior to the showcase. 
  • Must stay within the budget designated by the Committee for all purchases and expenses. 
  • Must keep an organized record of all transactions, agreements, contacts and relevant documents to be used as a reference for future showcases. 
  • Decides on the showcase theme with the Committee. 
  • Meets regularly with OMA advisor, and additional meetings with SDA and University Event Management for planning the logistics of the event. 
  • Responsible for reserving additional space not reserved during Pre-calendaring. 
  • Must order tickets make furniture requests, tech requests etc. TWO WEEKS prior to the event. 
  • Directs at least TWO full dress rehearsals with Lerner Tech Services and all performers. 
  • Is responsible for all thank you letters/ certificates of participation for performers. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: Political Chairs (2)

2 representatives will be elected

Responsibilities:

  • Must coordinate politically inclined events during the month (i.e. immigration discussion panel, voting information session, political movements of Latin America, etc.) 
  • Manages budget for event, ordering of food, space/tech requests, OMA advisor approvals, and all other logistics related to the event. 
  • Must collaborate with Latino student organizations with similar programming during the month (with the help of the outreach liaison) 
  • PROTESTS, MARCHES, AND DEMONSTRATIONS MAY NOT BE LABELED AS LHM COMMITTEE EVENTS –keep in mind that LHM is a cultural Committee. They may, however, be included on the calendar at the discretion of the Committee.
  • Guides Publicity Chair on creating respective publicity materials and its distribution. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: PR/Publicity Chairs (2)

2 representatives will be elected:

(1) Administrative Publicity Chair 

(1) Creative Publicity Chair

Responsibilities:

  • Takes leadership role in creating all paper publications including, but not limited to, the LHM calendar and supplemental booklet, as well as all printed materials needed for Committee developed events. 
  • Responsible for contacting student groups interested in being included on the calendar and the supplemental booklet. 
  • Advertises with flyers and Internet websites, including but not limited to Facebook, Columbia Spectator, Bwog, CU Arts.com. 
  • Must send press releases to media sources both on and off campus. 
  • Responsible for sending out letters of invitations, thank you notes, certificates of appreciation and all other official LHM correspondence (signed by chair). 
  • Must design and keep a file (both a hard copy and an electronic version) of all flyers created during the month. 
  • Must keep track of expenditures made for the necessary publicity materials (keep a record of receipts to be given to Treasurer). 
  • Will designate flyering duties to Committee members and/or any additional volunteers participating. 
  • Will work with the Webmaster on the creation and upkeep of the online calendar and LHM website. 
  • Compiles a list of “blurbs” and descriptions for each event included in the LHM calendar with the help of the Secretary. 
  • Collates pertinent materials used for events to put in Committee binder. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: Secretary

Responsibilities:

  • Takes minutes at every meeting and distributes them shortly after each meeting to Committee members and respective listserv. 
  • Attends all Committee meetings. 
  • Maintains contact information for Committee members. 
  • Reserves meeting space for Committee meetings. 
  • Upkeeps the LHM Committee binder with updated information at the end of the term. 
  • Responsible for collecting and maintaining a list of all contacts including all the Latino/a Organizations under SOL, ACOP, LAACU, USCC, graduate schools, OMA, CAO, and other contacts as needed that can be done. 
  • Responsible for comprising a master list of Latino/a events and co-sponsored events during the month. 
  • Implements a method for collating platforms and application materials for interested candidates in subsequent Committee positions. 
  • Must compile and review “Proposed Event Description Forms” from Latino/a organizations wishing to include their events in the LHM fall calendar prior to the Precalendaring meeting in the Spring. 
  • Reviews Proposed Event Description Forms for approval and facilitates co-sponsorships. 
  • Coordinates co-sponsorships with and between organizations both within and outside the Latino/a constituency 
  • Facilitates communications between student organizations and the Publicity Chair/s for events to be included in the official LHM calendar. 
  • Responsible for communicating with community organizations, vendors, cultural groups, and all other participants for events during the month. 
  • Must maintain and update, as needed, a list of contacts to be passed on to the incoming Committee. 
  • Must be familiar with forms used for events. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: Webmaster

Responsibilities:

  • Must coordinate with the Committee to redesign website. 
  • Enters and updates events into the on-line calendar. 
  • Works closely with the Publicity Chair and Secretary to obtain updated information. 
  • The website should include the contact information of the OMA, CAO, and the Committee members.

Position: Social Chairs (2)

2 Representatives will be elected 

Responsibilities:

  • Must stay within the budget designated by the LHM committee for all purchases and expenses 
  • Must keep an organized record of all transactions, agreements, contacts and relevant documents to be used as a reference for future showcases 
  • Must decide the semiformal theme with the LHM committee 
  • Must meet weekly with OMA advisor, and additional meetings with SDA and University Event Management for planning the logistics of the event 
  • Must recruit support staff (i.e. ticket collectors, food servers and volunteers) for the event 
  • Must reserve space during the LHM pre-calendaring event during the Spring semester 
  • Must order tickets make furniture requests, tech requests etc. TWO WEEKS prior to the event. 
  • Must finalize vendor list at least TWO WEEKS prior to the event. 
  • Must personally invite (via mail, email, and telephone) Latino Alumni, faculty, staff, students (especially other heritage month committee members), and community leaders. 
  • Will work with PR chair, and Webmaster for promotion of the event 
  • Must designate Ticket sales and box office duties to Operations Team Leaders 
  • Is responsible for catering food. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: Education Chairs (2)

2 representatives will be elected

Responsibilities:

  • Programs educational related events involving career panels, major declaration, tutoring, discussion panels, and all other events similar in nature. 
  • Must coordinate Educational-geared Committee events during the month (may overlap with Political chair on one event). 
  • Must collaborate with Latino/a student organizations with similar programming during the month. 
  • Manages budget for event, ordering of food, space/tech requests, OMA advisor approvals, and all other logistics related to the event. 
  • Guides Publicity Chair on creating respective publicity materials and its distribution. 
  • Works with Secretary to facilitate communication with other student organizations.

Position: Treasurer

Please Note: Candidates for the position of Treasurer will be interviewed separately and must demonstrate experience


Responsibilities:

  • Itemizes and promptly submits a budget for the month during the Precalendaring/budget meeting held during the Spring semester. 
  • Keeps all Committee members informed of expenses and account balances. 
  • Reviews financial policies and procedures with Committee members.This includes, going over the process of submitting specific forms for executing an event. 
  • Submits weekly EAF forms. 
  • Keeps track of monetary co-sponsorships from other campus organizations. 
  • Reviews budget with advisor. Determines the financial capability for organization to provide co-sponsorships to other organizations. • Promptly submits reimbursement forms/receipts. 
  • Keeps track of money earned during the month through ticket sales and reports it to the leaders of each event. 
  • Must assist in training the incoming treasurer or train a first year representative if reelected. 
  • Attends ABC’s treasurer training session. 
  • Additional responsibilities are to be determined at the discretion of the Committee and the OMA advisor should other committee members want additional support for their tasks/events.

Position: Columbia and Barnard Chairs (2)

Please note that co-chairs and treasurer will be appointed by the LHM advisors after an interview process and all other positions selected through general election. Cochairs are required to be in (or near) the city this summer for regularly scheduled planning meetings with the advisory group.

(One person from the respective schools will be elected per Chair for a total of 1 Columbia Chair and 1 Barnard Chair)

Responsibilities and Requirements 

  • Helps guide and mediate Committee decisions in accordance to Committee priorities and concerns. 
  • Ensures that Committee members are aware of and fulfill their responsibilities effectively and efficiently. The Chair/s will hold members accountable for not performing their respective duties. 
  • Responsibilities of chair will commence at the time their position has been granted. 
  • Oversees and provides the planning for the month. 
  • Develops and spearheads the agenda for the required Committee meetings. 
  • The Chair/s must be present at every event developed by the LHM Committee. 
  • The Chair/s must be available throughout the month to provide general support for the Committee. 
  • Attends required, weekly meetings with OMA advisors during the planning and execution of the month. 
  • Must have at least a year of prior experience in leadership position. 
  • Prepares and makes brief remarks concerning the LHM events and the theme at the opening reception. 
  • Will take on additional responsibilities determined at the discretion of the Committee, should other committee members want additional support for their tasks/events, and the OMA advisor requests additional support in issues pertaining to the Latino/a constituency. 
  • The Chair/s must oversee the pre-calendaring/budget meeting held every Spring semester, with the respective Latino organizations that wish to include their events in the LHM fall calendar. 
  • The Chair/s updates and revises the LHM election guide to reflect the changes implemented and used by the outgoing committee for positions needed in the Committee. 
  • Fosters collaboration and inclusion of all members of the Columbia and Barnard constituency, which is not limited to the Latino/a community. 
  • It is not required, but, it is highly recommended that the chairs speak Spanish in order to conduct business and artistic transactions, as well as public speaking events. 
  • The Chair/s plays a leading role in fundraising activities, which includes; writing grant proposals including, but not limited to, the OMA Diversity Initiative Grant, the Kraft Family Fund, CCSC Co-Sponsorship Fund, Chaplain Davis Co-Sponsorship Fund, Engineering Student Council Co-Sponsorship, GSSC Co-Sponsorship, The President’s and Provost’s Student Initiative Fund, Speaker’s Fund, The Office of the University Chaplain Co-Sponsorship Fund, and SGB Co-Sponsorship Fund.
